Form approval workflows

Require human (and optional AI) review before form submissions land in your CRM.

Form approval lets you require a human — and optionally an AI — to review a form submission before it becomes a record in your CRM. It's most often used to gate deal registrations and lead registrations from partners, but the same workflow applies to any Introw form: partner applications, support tickets, MDF requests, or any custom-object submission.

When to use form approval

Introw form approval is best when the review should happen alongside the partner — before any record hits your CRM. For deal or lead approvals, you can alternatively let your CRM handle sign-off (e.g. a "Pending registration" pipeline stage or a custom approval property) — pick whichever fits your team.

Common uses:

  • Deal registration — vet the opportunity and confirm partner attribution.

  • Lead registration — qualify and route before pushing to the CRM.

  • Partner applications — check program fit before partners are created.

  • Any other form — quote requests, tickets, custom objects, etc.

Enable approval on a form

  • Open the form in Form Builder and go to the Automation step.

  • Toggle on Require manual acceptance to proceed.

  • Add the approver(s). Use a single approver for simple cases, or chain multiple approvers for sequential review (see below).

Once enabled, every new submission lands in Form submissions in pending status until it's approved or declined.

Multi-step (sequential) approval

When more than one person needs to sign off, chain approvers on the same form. Submissions move through the chain step by step:

  • Each approver only sees the submission once the previous step has been accepted — reviews always happen in the order you define.

  • A decline at any step stops the workflow and notifies the partner. Later approvers don't need to weigh in.

  • Every accept and decline is logged in the form activity timeline so the chain is fully auditable.

Example — deal registration: a Channel Manager approves the partner attribution first, then a Sales Director signs off on deals before the record is created in the CRM.

AI pre-check before human approval

You can add an optional AI pre-check step before any human approver. The AI evaluates the submission against your acceptance criteria and gives the next reviewer:

  • A clear recommendation (accept or decline) with the reasoning behind it.

  • Suggested partner-ready communication the approver can send as-is or tweak before replying.

The human approver always makes the final call — the AI step simply gives them context up front so reviews are faster and more consistent. AI pre-check runs ahead of every human step, including across multi-step chains.

Example for lead registration: the AI checks the lead against duplicate-detection rules, qualification criteria, and known account ownership, and surfaces a recommendation plus a draft reply for the SDR to review.

Review form submissions

Pending submissions live in the Form submissions view in your side navigation. Approvers receive an email notification, can comment back-and-forth with the partner, and click Accept or Decline from there.

What happens after approval

As soon as a submission is fully approved, Introw pushes the data into your CRM using the automations configured on the form.
Any relative-date default values (e.g. Close date = approval + 30 days) are calculated from the moment of full approval — so date fields stay aligned with the deal's actual lifecycle even when a submission spends time in review.
